How to Make an Invoice in Google Docs
Make a clear invoice in Google Docs in four steps: copy a template, add the right fields, check the math, and export a PDF. Use the steps below, then pick a Google Docs invoice template and finish the document.
Start with a copy, not a blank page
Open a Google Docs invoice template that already has a business header, client block, item table, totals, and payment terms. Keep one untouched master in Drive. Duplicate the master for every invoice so you never overwrite the layout.
Rename the copy immediately. Use the client, invoice number, and date: Cedar-Coast-INV-2026-014-2026-07-19. A consistent name is easier to find in Drive and easier for the client to recognize in email.
- Click Make a Copy on the template you want.
- Paste the formatted layout into the new Google Doc.
- Rename the file before editing.
- Move it into the client’s Drive folder.
Add the fields a client needs
Put your business name and contact details at the top. Add the client’s billing name and address. Give the invoice a unique number, issue date, and exact due date. If the client supplied a purchase order number, show it near the invoice number.
Use one line per approved service, deliverable, product, or expense. Match the language in the proposal or statement of work. A line reading “Website design — final milestone” is easier to approve than “Design services.” Show quantity or hours, rate, and amount in separate columns.

Check the math manually
Google Docs tables do not calculate formulas. Multiply each quantity or hour entry by its rate. Add the line amounts to get the subtotal. Apply tax only when it applies. Subtract deposits or credits. The final balance should match the number in your email.
When the invoice has many changing line items, use an invoice generator or Google Sheets for the calculation. Copy the final numbers into Docs only after they are checked. The clean Docs layout is useful; the lack of formulas is the tradeoff.
Export and send the invoice
Choose File → Download → PDF Document. Open the PDF before sending it. Check that the total, due date, and payment instructions are visible and that no table row breaks badly across pages.
Write a short email. Name the work, invoice number, amount, and due date. Attach the PDF. Keep the editable Doc and the sent PDF in the same client folder. When the money clears, mark your internal record paid and issue a receipt if the client needs one.
